1. Who we are

Review Systems is a product of Multisystems Inc. ("Multisystems", "we"). This policy covers the website at reviewsystems.ai and the Review Systems product installed for our customers. Questions go to contact@multisystems.ai.

2. Data we collect on this website

• What you send us: the fields of the contact form — name, work email, property or company name, phone if you give it, and your message.
• Analytics: page views and form events through PostHog and, when configured, Google Analytics. Your browser's tracking-protection setting blocks them; the only other value we store is your theme choice.
• Support chat: the Zoho SalesIQ widget, which stores chat state only when you open it.

3. Data the product collects about guests

A guest who scans a code or taps a tag never logs in and is never asked for a name, email or phone number. For each scan or tap the product stores the spot the code belongs to, the type of interaction and the platform chosen, the time, a truncated browser string, and a one-way hash of the IP address. The address itself is not stored. Private feedback is stored as a rating, a message, the spot and the time, and reaches the property's manager only; it is never published and never sent to a review platform. No cookie or tracking pixel is set on the guest page.

4. Data the product collects about staff

People invited to a property have an account: name, email, a password hash, and the role granted per property. Sign-in sessions are held on the server. Public reviews shown in the product are read from Google, Tripadvisor and Yelp through a review-data provider; they are already public and are used only to show them to the property's team and to match them to scans.

5. How we use data

• To answer your enquiry. Form submissions are recorded in Multisystems' customer system so a colleague can pick up where another left off.
• To run the product for your properties: count scans, match reviews to spots, send the alerts and scheduled reports you configure.
• To send you a confirmation email for a form you submitted. We do not send marketing email you did not ask for.

We do not sell personal data, share it with other customers, or use it to train models.

6. Who else sees it

• Hosting and delivery: this website is served by Vercel. The product is installed per customer; hosting is agreed with you.
• Email: confirmations are sent through our email provider.
• Analytics and chat: PostHog, Google Analytics when configured, and Zoho SalesIQ.
• Review data: a review-data provider reads public reviews for the properties you register.
• Authorities: when the law requires it.

7. Retention

Form submissions are kept while there is a live conversation and for our records afterwards. Product data is kept for as long as your properties use the product; a report is a stored snapshot and is kept until you delete it. Interaction records are kept so historical reports stay true.

8. Your rights

You may ask what we hold about you, ask for it to be corrected or deleted, object to processing, or ask us to stop analytics on you at any time. Write to contact@multisystems.ai; we answer from one inbox.

9. Changes

When this policy changes, the date at the top changes with it. Material changes are announced on this page.
